FacilityBot is the world's first messaging-first smart facilities management system. By reimagining facilities management processes starting from the perspective of the building occupant, FacilityBot combines the rich functionality of MMS systems with seamless interactions with building occupants. The award-winning cloud-based solution helps businesses across the facilities management industry design, deploy and manage automated chatbots to handle client interaction, file sharing, maintenance, procurement and other operations. This design project illustrates my long-term partnership with FacilityBot, a leading smart facilities management system. It spans the whole product development cycle, from establishing the visual identity, and product architecture, to designing the website and user interface for the product. The project also involves the design of a large amount of features and functionalities for the three portals: manager, staff and requestor.

Facility management is a complex and challenging task that involves coordinating various aspects of a building's operation, maintenance, security, and compliance. Facility managers have to deal with multiple stakeholders and ensure that the facility meets the needs and expectations of all parties. This could mean a mixture of solutions for multiple user types, and obviously, not everyone is pleased having to install another app just to report a broken faucet.

However, traditional facility management methods are often inefficient, costly, and error-prone. They rely on manual processes, paper-based documentation, and outdated systems that are not integrated or scalable. Some organizations do apply technology in their process but it involves multiple different systems for each type of features and facilities. This leads to wasted time, money, and resources, as well as increased risks and liabilities.

Visual Identity

The logo of FacilityBot has a fascinating story behind it. It is actually one of a series of robot icons that were designed for a different chatbot project that offered various services for different industries. FacilityBot began as a small project, but it grew into a successful and powerful software over time. The creators decided to use one of the robot icons to represent the product itself, as can be seen today.

No downloads, no logins

Fault Reporting is a system that allows requestors to report faults through their preferred messaging channel. Report directly from Whatsapp, Slack, Telegram, Facebook Messenger, you name it, anywhere you and your company prefer. This way, users can communicate their issues quickly and conveniently to the chatbot, without having to call any help-desk or download any app. The system then automatically creates tickets for the reported faults and assigns them to the appropriate responders, based on the type and urgency of the fault.

Manage your assets easily

Asset Management helps you manage your assets efficiently and effectively. You can store and update all the details of your assets, attach notes and documents such as forms or contracts for easy access. Moreover, monitoring the maintenance history of your assets is made easy by linking fault reports and checklists, improving their performance, prevent breakdowns and automates future procedures. Furthermore, QR codes are applied for assets, which can simplify the asset linking and stock taking processes.
